FAQS

TuitionEP’s Frequently Asked Questions

Mobile App FAQs

Yes, if allowed by the school administration, families can enable the auto payment option.

The TuitionEP app is available through the Apple Store and the Google Play Store.

Yes, this can be done via the payment screen.

Yes, depending on what the institution offers, users can pay for child care, field trip fees, and other miscellaneous fees (in addition to tuition). Donations can also be made through app.

Organizations can choose to apply fees to the customer or absorb those fees. This flexibility is intentional as each school might have a different policy on whether or not they cover fees or apply them to families.

TuitionEP uses the Stripe payment platform. Stripe has been audited by an independent PCI Qualified Security Assessor (QSA) and is certified as a PCI Level 1 Service Provider. This is the most stringent level of certification available in the payments industry. Furthermore, anyone involved with the processing, transmission, or storage of card data must comply with the Payment Card Industry Data Security Standards (PCI DSS).

TuitionEP is a mobile app first. Simply have your users download either the iOS (Apple Store) or Android (Google Play Store) version and they can start making payments, download statements, receive notifications, and more.
However, for users that want to make payments in person, there is a kiosk version that can be setup on either a computer or a tablet device. The administrator dashboard is cloud based and used to add fees, keep track of payments, and more.

Financial Management FAQs

Cash Management, Managing Risks, and Profit Allocation.

Cash is needed for many things, such as paying debts, wages, and utility bills, buying raw materials, keeping stock on hand, and so much more. Without having powerful tools like TEP in place, how can leaders in companies decide how much cash to keep on hand for these needs?

The financial manager or CFO evaluates risks an organization faces. This can include market risks, liquidity risks, credit risks, and operating risks. Then, with the live and effortless TEP data, they can quickly create plans for what could go wrong, as well as strategies for circumventing said risks.

On the TEP dashboard a graph lists revenue, due, and total revenue. This can be exported with one click and full analysis can be done in a matter of moments. An organization can determine profit and allocate to owners for reinvestment opportunities. Although costs are not a focus, TEP allows for quick calculations with ease.

Enrollment FAQs

Yes. You can move a user from any point in the pipeline into a waitlist.

Through the enrollment process, any users can be categorized as “not a fit” at any time. This allows you to keep their record without having them in your active pipeline.

With templates for your organization, there is no need to run your payment options through legal. After setting your payment options, simply upload and go.

While working through the initial enrollment or re-enrollment, families can choose from payment plans that your administration has predetermined. For example:

  • 11-month payment plan (Deposit can be counted as first payment)
  • Quarterly payment plan
  • Monthly payment plan
  • Annual payment plan

Form Builder FAQs

This is in the pipeline to have an embed feature in 2023.

Yes. All forms have a preview option to ensure everything looks correct before publishing.

Yes. If you are not done and still want to work on a form, we suggest saving as a draft.

Yes. A simple toggle allows for forms to be turned off if no longer needed.

Yes. Any form can be saved as a template for future use or repeated use.

Yes. TEP does not limit the amount of forms created and used by your users.

Yes. Form builder can send a notification upon completion of each form entry.

Yes. Each form can have its own deadline.

Yes. Whether it’s just one form or all your forms, you can choose to download entries.

Yes. Forms can be set to any of the following categories: Boarding, Childcare, field Trip, Withdrawal, Rental, Application, Meals, Registration, Sports, Other.

Yes. There are two different ways to do this. The first way is adding an upload field to a form. This is probably easiest, but in some cases if the user does not upload, or if something needs to be attached to a student record, you can manually upload a document to a users record.

Yes. Forms can be attached to the record based on email address. In some cases if you'd simply prefer not having it attached you can omit the email field and it will not attach to the record. This can be useful for information gathering.

Notification Center FAQs

Yes. As you work with your users, you can quickly attach a link to a form to any notification for instant feedback or input.

No. Currently they are only one way forms of communication. That will be changing in the future as TuitionEP does want to make client and customer relationships even stronger.

Yes. As with all areas of TuitionEP, once an administrator starts typing the notification they are searching for, dynamic filtering occurs and shows only relevant notifications.

Yes. By simply clicking on any past sent notification a full list of all recipients is shown.

Yes. Within reason, we do have scalability options for users that expect to send a large amount of notifications. As long as there is a use case for it, the TuitionEP support team can enable this feature upon request. For most cases, schools send many notifications in a week and TuitionEP has never had to approach anyone for custom scaling.

Reporting Dashboard FAQs

No. At this time, we do not have this on our list of upcoming features, but that might change. As the data is live, you simply need to know which view you want, and the data is there, but scheduling emails to send reports is currently not available.

TuitionEP was built with power users in mind. Whether it's for one school or a district filled with schools, you have access to search quickly and efficiently by switching between schools on the fly.

No. The way TuitionEP is built, you rarely "run reports" but rather access the data in report format. The power of TuitionEP helps you make data-driven decisions. You can run and export out data, in both excel and csv formats.
